Define the areas and the result you want
Include the approximate size if known, whether both sides of a fence are involved, and any gates, posts, rails or steps that need attention. Mention the existing coating and visible damage.
The quote should identify cleaning, preparation and coating work separately from timber repairs. Colour changes and earlier coatings may affect the options available.
Make the deck and fence scope easy to picture
A useful brief describes the whole outdoor area, including the details that are easy to overlook. This helps separate the finish you want from access arrangements, repairs and additional surfaces.
Deck boards, edges and steps
Identify the walking surface, exposed edges, steps, handrails and balustrades. Say whether any underside is part of the job and whether outdoor furniture can be moved. If the deck is your usual entrance, explain that early so access while the work is underway can be discussed.
Fence faces, posts and gates
Include the approximate fence length and height if known, which faces need coating and whether posts and gates are included. Explain how the other side can be reached. Where access involves a neighbour, agree the arrangements before the proposed work dates are confirmed.
Keep the finish or change direction
Share what is on the timber now, even if the product is unknown. Describe whether you want to maintain its appearance or make a colour change. The quote should state the preparation and any repairs separately, with a sample considered where it would help resolve the choice.
If you are also refreshing the house, include exterior painting or cedar care in the enquiry so the outdoor work can be planned together.

Compare preparation as well as the finish
