For a school, retirement village or other managed property, identify the rooms or buildings involved and the person responsible for approvals. Include preferred work periods and dates that matter to the facility.
Discuss occupants, access, segregation of work areas, product requirements and return to use. Sensitive environments need arrangements based on the particular work and the facility’s requirements.
Turn a maintenance list into a manageable painting scope
A school or managed facility may have several buildings and competing priorities. Organising the brief by space and intended use helps the proposal explain what is included in each stage.
Rooms and shared spaces
List classrooms, offices, corridors, entrances and other areas separately, with the walls, ceilings, doors and trim involved. Note the spaces that must remain available. Include any existing colour schedule or facility requirements so the proposed work can be reviewed against a consistent brief.
Exterior buildings and grounds interfaces
Identify elevations, external doors and other surfaces needing attention. Explain access near entrances, parking, play areas or resident routes. Name other work, such as building washing or roof coatings, separately so the extent of a painting proposal remains clear.

Distinguish immediate repairs or repainting from work you want priced for a later period. For recurring maintenance, ask for a defined scope for each proposed visit and a process for reviewing new findings.
